Employee Scheduling
Use the
In-Out Board, found here,
https://harvest.cals.ncsu.edu/inoutboard, to schedule your time in the building or in your lab. The In-Out board will allow for an at-a-glance view of which labs are occupied at a given time. This will help to avoid overlap and ensure that only those designated on approved projects are in the building. It will also be used for addressing maintenance and PM needs. When you log in your times for in and out of your work area, this information can be used by our maintenance staff for scheduling and addressing issues–limiting contact and disruptions to research.
If you need to make a change to past or present entries, simply click on that date and redo the form using your new information. If you have decided not to go in on a certain day, simply submit a blank form on that date and it will clear out your entry.
Some employees, because of their employee ID designations, may have to be added manually. If you are unable to access, email Brendan Riddle at calsit-help@ncsu.edu.

Tips from Brendan for the In-Out Board
1. You can schedule out as far into the future as you like:
This is helpful if you maintain a set schedule every week. Blocking off a bit of time to schedule yourself for the month will save you time logging back in multiple times or forgetting to schedule at all.
2. You can make changes easily to any entry if your schedule changes:
To edit an entry: Simply select the date you want to adjust and reenter the new times. This will override your previous entry.
To delete an entry: Simply select the date you want to delete and submit a blank form. This will delete your previous entry.
3. You can see everyone scheduled for the day (and you don’t have to login):
You can view the entire board for the day by visiting this link: https://harvest.cals.ncsu.edu/inoutboard/view/. This view does not require logging in but is read-only. Currently we only have same-day visibility but I am working on providing weekly view access as well.
4. The In/Out Board is a required component of our research restart and is REQUIRED BY ALL EMPLOYEES:
Our RoomSign QR codes help us track employee movement throughout the building in case an employee tests positive for Covid-19. Our In/Out Board helps ensure we do not exceed the number of employees allowed in the labs and overall building at any one time.
5. We have created a reservation system for rooms and instruments shared by multiple labs:
To help schedule the use of rooms/instruments (such as microscopy and cell culture) that are used by multiple labs, we have created reservation calendars that allow users to reserve 1-hour long time slots. Note: I have made Room Reservation QR Signs for many of these rooms and placed them on or next to the entry door. Similar to the RoomSign QR codes, you can scan these to automatically bring up the shared space calendar to reserve your time. I understand that some rooms may be missing these signs. Please let me know if you see a shared room/instrument that is missing this sign so I can have it created.
Contact Tracing
RoomSign QR codes have been added to almost every room requested in the building. As you ENTER and EXIT a room, scan the QR code to record your presence in a given space. Make sure you scan the door tag and log in and out of each space you have occupied, even if you only walk in and back out. If someone is diagnosed with COVID-19, this information will be used to track who may have been in contact with this person. This information will then be used to determine who may need quarantine to prevent additional infections as well as determining the areas that will need to be cleaned and sanitized more heavily to ensure the space is not a hazard.

Shared Lab Space
Shared calendars have been set up for all shared lab spaces (Links below). Scheduling shared space will reduce the chance of overlap and ensure the space is available during the time an employee is scheduled to be working. Scheduling time on the shared calendar marks the space as occupied while also allowing you the option to add this to your personal work calendar. Shared spaces should be scheduled with regard to others needing to use these areas. Do not schedule excessive amounts of time, but be sure to schedule enough time to allow you to clean the area for the next person to use.
